All of our physicians are board-certified and Fellowship Trained in Pain Medicine and board-certified in Anesthesiology.

We are seeking an experienced Clinical Operations Manager to oversee the daily operations of the sites listed above. The Clinical Operations Manager will be responsible for managing administrative, clinical, billing & collections staff, interfacing with physicians, coordinating patient care when needed, supervising office supplies, HR duties such as staff time & attendance, payroll, benefits, performance planning, and evaluations.  The successful candidate will be team-oriented, have strong leadership and communication skills, excellent organizational abilities, the ability to stay calm under pressure, and a proven track record of managing an office in a healthcare setting.

Responsibilities

People Management:
  • Clearly communicates company expectations, mission, procedures, and expectations to all staff positions through learning how to perform all the duties of all the clinic positions. 
  • Supervises patient scheduling, clinical, administrative, billing, and collections staff.Sets hiring criteria and constantly recruits for positions that may need to be filled at a moment’s notice. Initiates hire, promotion, and pay increase requests and forwards to management when necessary.Meets daily with clinical staff ensuring all positions are prepared for the current and next day.
  • Evaluate subordinate performance informally quarterly and formally annually.
  • Selects key performance criteria for each position to inspect regularly.
  • Maintains current job responsibilities, and employment agreements on all subordinates.
  • Mentors, advises, trains, delegates, inspects all subordinate work, and provides constant feedback.
Operations Management:
  • Proactively maintains applicable Operating Procedures & Policies.  
  • Manages patient scheduling and patient flow efficiently.
  • Supports Providers and manages Provider relations with staff and management.
  • Proactively manages Operations Supplies and FF&E inventory with detailed updates to the Supplies and FF&E inventory management lists for all new purchases and at the end of each quarter.

Compliance:
  • Keeps abreast of the latest developments and changes with PIP, HIPAA, OSHA, FMLA, ACA, and KY Employment Laws. 
  • Ensures patient records and communication are within HIPAA compliance.  

Skills & Qualifications

  • 5 Years of Medical Office People & Operations Management Experience
  • 2+ Years in Pain Management Office Supervision preferred, specifically in Personal Injury. 
  • Ability to travel between locations throughout the areas we serve.
  • Interpersonal/human relations skills.
  • Organizational/planning skills with attentiveness to detail.
  • Ability to prioritize duties, delegate responsibilities, and evaluate the work of others.
  • Ability to handle multiple simultaneous tasks effectively and efficiently while maintaining a professional and courteous image and encouraging excellence through leading by example.
  • Exceptional communication and interpersonal skills to interact effectively and tactfully with all levels of employees, management staff, and patients.
  • Responds timely to requests, emails, voicemails, etc.
  • High integrity and professionalism, including maintenance of confidential information.
  • Strong computer and phone skills, including Microsoft Office Suite experience with the ability to type and operate programs such as MDOM and iSalus.
  • Automobile Insurance, Operations Management, Scheduling, Clinical Supervision, Billing, Collections, HIPAA Compliance, OSHA Compliance, Legal Compliance, Human Resources
  • High degree of multitasking between Computer, Telephone, Scheduling, Check-In, Check-Out, MAs, Dispensary, Patients, Outbound Referrals, Billing, Collections, Management, and Administration.
  • Regular and reliable attendance with the ability to work extended hours required as needed.
Education:
  • Medical Office Manager College Degree or similar education and/or equivalent work experience.
  • Bachelor’s degree preferred.
Physical Requirements:
The physical demands of this position will include sitting and standing with occasional light to medium lifting. Ability to help lift patients and transport in wheelchair from clinic to parking lot. An employee must meet these requirements to successfully perform the essential duties of this job. Reasonable accommodation will be made in accordance with ADA rules and regulations.
